What is SimpliCity?

The SimpliCity project supports the City's HR, Finance, and Payroll systems. It also provides portals for ESS/Executime, VSS, and TCM systems.

It's objective is to automate and streamline various tasks related to HR and Finance, such as personnel management, timesheets, payroll processing, benefits administration, and financial reporting.

What You Need to Do

  1. Please clear your browser cache before starting to work in Munis. See the attached “Clear Browser Cache” instructions. After you clear you browser cache, ensure you exit all instances of your browser, and relaunch.

    Clearing your browser cache will reduce conflicts between the new version of Munis and what may be saved on your browser cache.
  2. Refresh your Munis menu. View the attached “Munis Menu Refresh” video.

The Upgrade is Coming! The Upgrade is Coming!

The Upgrade is Coming!The system will be unavailable from Thursday, November 7th at 6:00 PM to Friday, November 8th at 8:00 AM.

During this time, the Simplicity system will be temporarily unavailable. You will not be able to log into Munis, ESS, and VSS and therefore, not be able to view or perform any activity until the Munis upgrade is complete. You can get to UKG from the GRID home page.

The system is expected to be back on line and available Friday, November 8th at 8:00 AM.

Who is Impacted? 

  • All Employees making ESS updates (e.g. certification, education, personal information, tax information, benefits, etc.).
  • Department PA Preparers and others entering Expense Reports, Purchasing Card Transactions, and Personnel Actions.
  • Personnel Action approvers.
  • Purchasing Card users and approvers.
  • Department Invoice and Requisition entry users and approvers.

What Do I Need to Do?

ESS:

            * Complete ESS updates by 5:00 PM on November 7th.

Department PA Preparers & Purchasing Card Users:

            * Complete Personnel Actions (PA) by 5:00 PM on November 7th.
            * Complete Purchasing Card statements by 5:00 PM on November 7th.

Department Invoice and Requisition entry users and approvers:

            * Complete Invoices and Requisitions by 5:00 PM on November 7th.


What are the different pieces of SimpliCity?

 Payroll:   The process of calculating and paying employee salaries and taxes.
 HR:   The various processes related to human resources management, such as employee information management,  compensation and benefits administration.
 Finance:   Tasks such as budgeting, requisitioning, invoicing, accounting, and financial reporting.
 TCM:   Document and attachment manager.
 ESS:   Provides employees with online access to HR related information and allows them to perform HR-related tasks, such as updating personal information, viewing pay stubs and tax information.
 Executime:   Employee's timekeeping data entry portal.
 VSS:   Provides vendors with online access to procurement related information and allows them to perform procurement related tasks.
