Request MS Teams Conferencing License or Zoom Account

An MS Teams Conferencing License will add a dial in conference phone number to all meetings you host.

To request an MS Teams Conferencing License or Zoom Account:

1. Fill out this Request: Request to Acquire NEW Software/Licenses
2. Set the Software Name to either “Request a NEW MSTeams Conferencing License” or “Request a NEW Zoom Account
3. Set Org Code and Object Code fields to N/A

For our current (3 year) Microsoft Agreement, there is no cost for MS Teams Conferencing Licenses

Policy and Retention

  • All activity on MS Teams, just like any other platform in the city is subject to HR policy 504, Employee Conduct.
  • Profile Pictures must be professional and comply with HR Policy 504, Employee Conduct. Be aware that although profile pictures are not currently shared outside of the organization, Microsoft does rollout features with out notice that are outside of the organizations control. Do not upload a picture of yourself if you do not want it to be potentially shared outside the organization. The City of Glendale logo is the only approved avatar which may be used instead of a profile photo or the default system value (your initials).  See the Employee Profile Avatar & Photo Guide for more details.
  • Retention schedules are the same for MS Teams as your current retention guidelines.
  • 2 years for chat- same as email.
  • All activity is subject to public record request.

MS Teams and Zoom

  • Both allow virtual meetings both internally and externally.
  • Both provide dial in conferencing phone numbers.
  • Teams is focused on collaborations and is not meant to be a replacement for Zoom.
  • Teams requires guests to authenticate by verifying email.
  • Teams allows sharing of files, instant chat, scheduling Outlook meetings, and various integrations.
  • Zoom will continue to be the preferred platform when conducting large external meetings.
  • Zoom licensing:
    • Standard license = $199.90/year
    • Webinar 100 participants = $599.90/year
    • Webinar 500 participants = $1,599.90/year
